Credit Card Authorization Form Requirement

For all credit card orders, please sign and fax over this authorization form after submitting your order here. If you are a new customer of Hagen Software Inc., please also include imprints of the front and back of the credit card that you used to place this order. If you have questions or concerns about this, please read on.

Why do we require this?

Unfortunately, due to the rapid growth of credit card fraud and identity theft, there are many people who attempt to use stolen credit cards to purchase our products and services. Since we are a global business and do not have the physical cards present to verify that the person giving us a credit card number actually possesses that card and is the legal owner of that card, we need to receive imprints of the front and back of that card in order to verify its authenticity. We also need to receive the signed authorization form in order to compare the signature on the form to that on the card. There are a number of methods that you can use to accomplish this, which are detailed below.

Isn't this customer unfriendly?

No, we're not trying to be customer unfriendly, and we apologize for any inconvenience. It's a hassle for us as well to have to go through this verification process, and we would prefer not to. If we didn't do this, however, we simply wouldn't be able to accept credit card payments at all or even to stay in business. Until governments become more serious about cracking down on credit card fraud and identity theft, we have no choice but to require this type of verification.

Do other companies require this?

Yes. Over the past year or two, as identity theft has exploded into a huge problem, many other companies that do business over the Internet have also started to require customers to fill out similar credit card authorization forms, and it is rapidly becoming the standard method for authorizing such "card not present" transactions.

Do the credit card companies allow this?

Yes. In fact, we have specifically been advised by the credit card companies that it is good practice to require the imprints since, unlike a physical retailer, we do not have access to the physical credit cards in order to verify their authenticity.

Do I have to include the credit card imprints?

Yes, but only if you are a new Hagen Software customer. If you are a current or previous customer of Hagen Software, then you do not need to send the imprints, although we still need the signed authorization form.

Is it safe to send you the imprints?

Yes. They are handled securely by authorized personnel only. In fact, if you think about it, this is no different from the situation where you hand your physical credit card to a waiter in a restaurant who then takes it and "disappears" somewhere in the back to process it. In both cases, you are putting trust in the vendor to handle your card responsibly. We are a well established company with an excellent reputation that has been around for many years and that has many Fortune 500 clients, so having us handle your card imprints is actually safer than giving your card to someone in an unfamiliar restaurant or retail store.

How can I make the imprints?

There are a number of methods that you can use to make the imprints of your credit card for verification purposes, including the following:

  1. scanning it
  2. copying it
  3. taking a picture of it with a digital camera
  4. placing a piece of paper over the card and using a pencil to "stencil" the card so that the raised numbers show through on the paper

How can I send you the imprints?

Once again, there are several methods that you can use, including the following:

  1. faxing them to us at +1 202-478-0858
  2. e-mailing them to us as .jpeg, .gif, or .png images (but we will still need to receive the signed authorization form)
  3. using postal mail to send us the copies of the imprints and the signed authorization form

What if I don't have a fax machine, a copier, a scanner, or a digital camera?

Even if you don't have a fax machine, scanner, copier, or digital camera available in your home or office, you can find this equipment at any local copy shop, such as a Kinkos or other similar store. You probably have friends, neighbors, or relatives that have this equipment as well, especially now that most people have mobile phones, and many new mobile phones now include digital cameras. If none of this equipment is available to you anywhere, there is still the option of placing a piece of paper over the card and using a pencil to "stencil" the card so that the raised numbers show through, and then using the regular postal mail to send this imprint to us. In the alternative, you could use one of the other payment methods available, such as paying by cashiers check, certified check, money order, or wire transfer.
